Questions and answers

Xenos Fit as an employee benefit

For HR and benefits teams weighing a pilot, and for employees whose organization offers Xenos Fit or who'd like it to.

For HR and benefits teams

Is Casey a person?

No. Casey is an AI trainer, and says so when employees meet her. That's what makes her available at 6 a.m. and 10 p.m. with every past session in mind.

What if someone gets hurt, or already has an injury?

Limitations shared during onboarding or later shape the plan, and Casey keeps them in view rather than letting them drop. When pain or a medical question comes up, she recommends seeing a professional. Participation is voluntary and governed by our terms of service.

What if an employee brings up something personal?

Casey is a trainer, not a counselor. When a conversation moves past training, she says so. If your organization has an Employee Assistance Program (EAP), we can give Casey its contact details, so she can share them with an employee when that would help.

Will managers know who signed up?

Not from us. Reporting is aggregated, and employees can register under an alias.

We already have a wellness vendor. Does this overlap?

Usually not. Most wellness programs track activity or offer content. Xenos Fit does one thing: personal strength training coaching for people, not tied to a particular gym.

What happens to employees if the pilot ends?

Their account and training history are theirs. They can continue on an individual plan or delete everything.

Who can use a seat?

Anyone who has your organization's sign-up link. We don't verify employment or identity, which is what lets employees sign up under an alias, so share the link through internal channels rather than publicly. Sign-ups stop at your seat count, and you pay only for seats that are activated.

What happens when all the seats are claimed?

The sign-up link stops accepting new accounts and tells anyone who tries that every spot has been claimed. If more people want in, let us know and we can talk about adding seats.

How are we billed?

$72 for each seat an employee activates, covering the full 90 days. A seat counts as activated once that employee finishes onboarding and has a plan. You get one invoice, at day 30. Seats nobody activates cost nothing.

Do we need to integrate anything?

No. There's no employee list to upload, no single sign-on, and no connection to HR, payroll, or benefits systems. HR shares one link, and that's the whole setup.

What exactly is in the monthly report?

Seats activated, the share of activated employees who trained each week, how many weeks people trained that month, and total sessions logged. Every activity figure is a group total, and any count below five is shown as “fewer than five” so a small group can't be narrowed down to a person. Nothing is broken down by team, location, or role. See a sample report.

Can Casey point employees to our own resources?

Yes, if you'd like. Give us your Employee Assistance Program's contact details, and Casey will share them with an employee when a conversation calls for it. She won't bring them up otherwise, and you're never told who asked. This is optional and set up per organization.

Is this a health plan? Does HIPAA apply?

Xenos Fit is not a health plan or a group benefit under ERISA, and it is not a HIPAA covered entity or business associate. It doesn't connect to your health plan or claims data, and it doesn't provide medical advice.

Where is employee data stored, and who processes it?

In the United States: our database runs in Ohio and the application in Northern Virginia. Our service providers are Supabase (database and sign-in), Anthropic (AI coaching), OpenAI (search and voice transcription), Retell AI (phone onboarding), Resend (email), Vercel (hosting), and Stripe (payments, only if an employee later pays for their own plan).

Our legal or IT team will want to review this first.

A one-page privacy and security summary is ready for them. Ask for it when you propose a pilot, or through our contact form. The binding documents are our Terms of Use and Privacy Policy, which has a section on employer-sponsored accounts.

For employees

My employer is offering Xenos Fit. Does it cost me anything?

No. Your employer covers it for as long as their sponsorship runs, and you won't be asked for a card.

Will my employer know I signed up, or what I do?

No. Your employer gets a monthly report with group totals only, such as how many seats are in use. They never get your name, your email, whether you personally signed up or trained, or anything about your goals, workouts, injuries, or conversations with Casey. Section 12 of our Privacy Policy covers this in full.

Can I sign up under an alias?

Yes. An alias email address and any first name you like are welcome. We don't verify who you are. Why we suggest an alias.

What happens when my employer's sponsorship ends?

Your account and training history stay yours. To keep training with Casey, you can switch to an individual plan, which you can also do any time from your account page. Or you can have everything deleted.

I already have a Xenos Fit account. Can I use my employer's seat?

Not yet. Your employer's sign-up link only works for new accounts. If you already have an account and your employer is offering Xenos Fit, contact us.

I'd like my employer to offer this. How do I suggest it?

We've written a short message you can send to your HR or benefits team, as-is or edited, along with a one-page summary to attach. It talks about the benefit for your colleagues, not your own training, so you don't have to share anything personal.
